Acceptance of these terms and conditions will result in a binding agreement between you (the Volunteer) and us (Scone Palace International Horse Trials). It is your responsibility to familiarise yourself with these Terms and Conditions.
1.Entry – Entry to the venue is subject to the right of the Operator (Scone Palace International Horse Trials, c/o Perth Racecourse Limited) to refuse to admit and/or to expel, without prior notice, any person whose behaviour is considered to be unruly or unacceptable or is a disqualified person.
2.Alcohol – Volunteers should not be consuming any alcohol while completing their shift/s. Anyone found to be doing so will be relieved of their shift and all future shifts cancelled. All associated perks and benefits provided as part of your volunteering with The Event will be forfeited.
3.Dogs – Scone Palace international horse trials is a dog friendly site; however, we cannot allow your dog/s to be with you during your shift in the interests of safety.
When not on shift, owners must adhere to the dog policy below:
Dogs are welcome to attend the event however, there are a few conditions so please continue reading.
Lead Requirement: Dogs must be always kept on a secure lead and under control.
Off-Lead Policy: If a dog is found off-lead or not under control, the owner will be charged £20 (donated to charity) and may be asked to leave the event.
Waste Removal: Owners are responsible for cleaning up after their dogs. Please ensure you bring your own poo bags. There are Dog Waste bins available across the site. Please refer to the site map to find exact locations.
Do Not Leave Dogs in Cars: Dogs must not be left unattended in vehicles. If dog/s are left unattended for any length of time in a vehicle, where we are legally able to do so, we reserve the right, if necessary, to force entry into a car to release any animals which may be suffering.
4.Water Points: Water points are located throughout the event site. Please see our site map for these locations.
5.Prohibited Items – Visitors are advised that it is prohibited to bring any glass bottles or glasses into any part of the Venue. Stewards will advise of any other items deemed unsuitable to bring into the Venue, which should be returned to vehicles or confiscated. This is to ensure compliance with all relevant Health and Safety Rules and Regulations in force across the Event Site.
6.Cigarettes, E-Cigarettes and all Vaporiser products – The current smoking legislation regarding smoking and vaping in public places applies at the Venue. The use of e-cigarettes and vapes are permitted; however, they will be treated the same as tobacco products and therefore, strictly, forbidden indoors. Please dispose of your cigarette ends carefully and in the appropriate bins provided. Please ensure the end is distinguished fully before putting it in the bin.
7.Dress Code – There is no dress code on site, however football colours and attire are discouraged at all times. Please ensure you dress appropriately for the weather forecast as we are classed as an outdoor event and many volunteer roles will require you to be posted outside for the duration of your shift.
8. Breaks on Shift – Breaks will be provided during the course of your shift; however, we request that you contact the volunteer coordinator and management team to allow someone to cover your position.
Volunteers are requested not to leave their post without informing the Volunteer Management team in the interest of safety across the event site.
8.Social Media Policy – all volunteers must adhere to the Event Social Media Policy;
• All conduct of volunteers on social media which relates to Scone Palace International Horse Trials must be done so in a respectful manner.
• Any activity, occurring before or during the course of the event, of a volunteer online or via social media which has cause to bring the event into disrepute or cause damage to the reputation of the event will not be tolerated. Anyone found to be doing so will have all volunteer shifts cancelled with any associated perks and benefits forfeited.
• The Event Logo should not be altered or used in any manner which will cause harm or damage to Scone Palace International Horse Trials or Perth Racecourse. Anyone found to be doing so will have all volunteer shifts cancelled with any associated perks and benefits forfeited.
9.Volunteers under the age of 18 – We always encourage young volunteers to join us and help at the event. However, all volunteers under the ages of 18 must be accompanied by an adult at all times during their shift. This accompanying party should also be registered to volunteer. 10.Cancellation policy – We understand that there are situations where volunteers are no longer able to attend shift/s that you have signed up for. We would ask you to cancel any shifts in the volunteer system as soon as possible in this case and any associated entry / free camping will also be cancelled.
We request you do not swap shifts with other volunteers without contacting the volunteer coordinator. It is important for us to know who is covering each role in the case of an emergency and to ensure positions are appropriately filled in the interest of the safety of all on site.
If you have purchased camping and are no longer able to volunteer, you will need to cancel shift/s via the volunteer system and also email volunteers@sconehorsetrials.com for refund instructions. We are able to issue refunds for tickets up to 2 weeks prior to the event. All refunds will be subject to a £15 cancellation fee.
Ticket delivery
General Admission ticket/s will be sent as e-ticket/s and will be emailed to you 4 weeks before the event. Please ensure you give us the correct email address at point of sign up.
For any additional tickets / camping you purchase you will receive a confirmation booking email with a booking order number. Please keep this safe until you receive the e-ticket/s which will be sent out 4 weeks before the event. If you do not receive your email confirmation after you have completed your order, please check the spam folder before contacting the Office on info@sconehorsetrials.com or calling 01738 503121.
Privacy Policy
The Operator is conscious that you are trusting us with private information which we need to process your order. You have our assurance that your information will not be shared with any other organisations except Stripe, our chosen payment card service provider. Perth Racecourse Limited is fully registered within the terms of the Data Protection Act in the United Kingdom. Acceptance of Orders
We retain the right to accept your order solely at our discretion. If we are concerned that you are attempting to place an order dishonestly, fraudulently, by impersonating someone else or are attempting to use payment details which have been stolen we will make additional checks as to your standing and if appropriate involve external authorities.
Photography & Videography
Please note that at most of our events, we have a photographer and/ videographer in attendance taking photographs/filming for use on our website, social media and other outlets. If you do not wish to have your photograph/image taken and displayed in any of these outlets by the Operator, please notify the photographer at the time, email volunteers@sconehorsetrials.com or call us on 01738 503121.
If, however, the photograph/image has been used in a campaign and you did not tell the photographer/videographer nor tell the Operator that the photograph/image was taken, we cannot change the campaign graphic once printed/used and shall not be liable.
